Summary:
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team and provide exceptional support to our meeting planners for both in-person and online events.
The ideal candidate will have strong administrative skills, a keen eye for detail, and the ability to handle multiple tasks simultaneously.
This role involves data entry, speaker follow-up, deadline tracking, payment processing, and understanding various event types within our organization.
Key
Responsibilities:
- Provide administrative support to the Director of Events and Director of Education for both in-person and online events, including scheduling, coordinating logistics, and managing event-related communications.
- Perform accurate data entry for Continuing Medical Education (CME) and Maintenance of Certification (MOC) programs, ensuring all information is up-to-date and organized.
- Follow up with speakers, confirming their participation, collecting necessary materials, and ensuring they have the information needed for their presentations.
- Track and manage event-related deadlines, ensuring all tasks are completed on time and within budget.
- Process payments related to events, keeping meticulous records and coordinating with finance departments as necessary.
- Handle details regarding registration for various educational events including on site registration for large annual meeting.
-Become familiar with on line learning management system, to include entry, reporting, analysis, product set up and maintenance.
- Assist in the creation of event-related documents, presentations, and reports as needed.
- Collaborate with other administrative support staff to ensure seamless coordination of tasks and efficient workflow.
- Stay current with industry trends and best practices in event management and administration.

Qualifications:
- Bachelor's degree in Business Administration, Event Management, or a related field is preferred.
- Proven experience in administrative support, preferably in a non-profit.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint) and virtual event platforms.
- Exceptional organizational and time-management skills, with a keen attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively within a team environment.
- Basic understanding of event planning concepts and terminology is a plus.
- Flexibility and adaptability to changing priorities and tasks in a fast paced environment.
